Our client is an innovative and exciting agency with a global profile and a strong reputation for success across media, content and technology. The Executive Assistant role is one designed to provide the senior management with proactive and consistent support and assistance. The Executive Assistant should always be one step ahead, pre-empting situations before they arise.
Responsibilities:
• Ensuring that the senior management have efficient support managing e-mails and responding in their absence
• Coordination of meeting schedules, business travel, correspondence and phone traffic
• Day to day diary management incl. travel / hotel arrangements.
• Organisation and minute taking at fortnightly Management Board meetings
• Ad hoc coordination of initiatives eg Team Away Days / Off-site meetings
• Partnering with Facilities Management and IT to ensure printers and tech work seamlessly
• Meeting and greeting visiting clients, media owners and other business partners
• Track incoming/outgoing documents for signature
• Process expenses and collate team’s expenses.
• Complete timesheet data. Approve any team timesheets waiting.
• Weekly management meetings. Create and share agenda, attend meetings, take minutes, and circulate actions points.
• Team Birthdays, New starters, Leavers - managing paperwork and equipment needs
• Internal Training events
• Org chart – creating and maintaining up to date team chart
• Stationary – order and maintain stationary supplies for office.
Skills and Behaviours
• 3 years’ plus experience in a similar role supporting senior management
• Excellent written and verbal communication skills
• Ability to work in a highly pressurised environment with a high level of emotional intelligence
• Proactive at all times and able to make decisions autonomously
• Ability to build effective relationships at all levels of employees and senior clients, media owners and key industry contacts
• Methodical and thorough approach to work with an ability to keep a clear mind
• Self-motivated and able to work independently and alongside a wide range of people
• High attention to detail with a structured approach to work tasks
• Previous experience of working with highly sensitive and confidential information
• Good computer skills (MS Office Word, Excel and PowerPoint)
• Enthusiastic “can-do” and responsible attitude
