This role is a new fixed term appointment for an experienced Contracts Administrator to review, collate, organise and update/refresh our currently 650 plus contracts for our emergency response product, alongside various iterations and letter of amendment, to achieve a complete 'database' of active up-to-date contracts and aligning this information within current NCEC systems.

The Contracts Administrator will work closely with the Account Management team and would be expected to facilitate any discussions between our in-house commercial teams, the customer, and our delivery teams.

Key Responsibilities

* Review all the customer contracts and active letters of amendment (LOA)
* Creation of a database holding details of all contracts, including cover, validity, renewal terms, contract versions, and other key summary information to be defined
* Update CRM to ensure that the contract and opportunity fields matches the collated database
* Drafting updated contracts (and LOAs) - independently or with the Account Manager depending on the requirements (related to age of contract, complexity of any rescoping required), aim to bring as many customers onto new terms and conditions as possible
* Facilitating legal interchanges internally (i.e. between Account Management / New Business, delivery, commercial) and potentially externally (but under the lead of the sales owner)
* Creation of a client folder structure for each active customer, which should contain their current contract and any LOAs issued, plus any historic documents
* Review and create contract and LOA management processes to ensure updated contracts are maintained in a consistent way, to include:

* Criteria for a new contract vs. LOA
* Changes are represented in the automated renewal process

* Working with finance, commercial, sales, account management and the customer service team to improve our wider contract management processes
* Regular liaison with Delivery Team to ensure that any changes to contracts have no effect on the delivery

Key Competencies and Experience

* Understanding of commercial practice
* Experience of drafting / maintaining contracts for a large customer base
* Sound working knowledge of contract law
* Excellent knowledge of Microsoft Office applications and CRM (Microsoft Dynamics)
