Working Days and Hours:

Full Time, 37.5 hours Monday to Friday 9am to 5pm

Job Purpose

To provide an efficient typing and general clerical/admin service for the Crisis and Liaison Teams working across two sites, The Lookout, Hopewood and Lindsay Close, Mansfield. To maintain confidentiality at all times and assist in the smooth running of the service.

Duties

  • Ability to compose a short letter from information on the RIO patient database.
  • Excellent typing skill, quick turnaround of appointments and other Crisis related correspondence.
  • Client data input and data cleansing on RiO
  • Retrieval of data from RiO and SystmOne
  • Maintain efficient computerised and manual record systems
  • Uploading documents to RiO
  • Answering CRISIS phone, and/or, recording and relaying messages accurately via telephone, e-mail, post and face-to-face contact.
  • File documents such as letters, electronically within Shared Folders.
  • Ensure all confidential documents and files are locked away securely.
  • Photocopying, laminating, scanning , faxing, shredding etc. of documentation
  • To assist with other clerical duties within the administration team as required.
  • Taking minutes and preparing agendas for Team Meetings.
  • Any other duties commensurate with the grade, as requested by the Team Leader/Manager.

Qualifications, Skills and Experience

  • Ability to communicate effectively with all levels of staff, patients and outside agencies.
  • Excellent organisational skills
  • Ability to work without supervision, follow instructions and guidelines and adhere to tight deadlines.
  • Minimum RSA 2 typewriting or equivalent.
  • Experience of working with computers, knowledge of Microsoft Office.
  • Flexible attitude and ability to work as part of a team.
  • Experience of working with computer databases is desirable.
  • Good general education, including GCSE or equivalent.
  • Strict confidentiality.
  • Experience of dealing with people, maintaining a high level of customer care.
  • Good customer service skills.
  • Good letter writing skills
  • Minute taking experience
