Private Equity Firm | Central London | £50,000-£55,000 + Benefits

Selectus is currently looking for an Executive Assistant to General Counsel and wider team, for a FTSE 250 boutique private equity firm, based in London’s West End.   

RESPONSIBILITIES INCLUDE, BUT NOT LIMITED TO: 

CORE DUTIES: 

  • Diary management (multiple time-zones) and including travel management where required.
  • Inbox management (including tracking, flagging, and/or prioritising of urgent items as needed).
  • End-to-end coordination for Board and Committee meetings, including liaison with Directors to schedule meetings, venue and all related meeting arrangements.
  • Coordination of papers for meetings in line with agreed agendas and timetables, and distributing through online platform.
  • Processing and filing of legal and non-legal documents.
  • Maintaining Legal activities list and providing support for Legal programs/projects as needed, to ensure the smooth running of the Legal function.
  • Legal spend administration including processing invoices for payment.
  • Continuously support and promote the close interaction between the other Executive Assistants within the business.
  • Support the wider Legal team.

AD-HOC DUTIES: 

  • Compiling data for reports and preparing/editing reports and presentations.
  • Maintaining a Legal program calendar and the Legal communications plan.
  • Provide support for Legal programs/projects as needed, to ensure the smooth running of the Legal function.
  • Support and facilitate the efficiency of processes for the General Counsel.
  • Management, preparation, and coordination of all relevant papers (including board), for General Counsel and Company Secretary to review. 
  • End-to-end coordination for both Board and Committee meetings, including organising lunches and refreshments.
  • Co-ordinate ad hoc events – sourcing venues, planning logistics, managing budgets.
  • Continue to optimise the Executive Support function for Legal team, the Chair and other Board members and investors.
  • Compiling data for reports (including risk/compliance reports) and preparing/editing reports.
  • Collating information for third party requirements, for example auditors.
  • Tracking compliance requirements and escalating any actions required.
  • Recording of minutes and actions for meetings when required.
  • Companies House filings.
  • Document production and completion for the Legal team.
  • Support and facilitate efficient legal processes, including document filing, policy oversight and other processes.
  • Co-ordinate ad hoc events – sourcing venues, planning logistics, managing budgets.

IDEAL CANDIDATE: 

  • Minimum of 5 or more years C-level executive assistant experience, or equivalent combination of experience, particularly experience of coordinating at Board level.
  • Experience in a Legal function and systems is preferred.
  • Proactive can-do attitude, with ability to pick up new tasks as required.
  • Advanced general administrative skills/knowledge required at a Senior Executive level.
  • Excellent written, verbal, and interpersonal communication skills.
  • Excellent organisational and planning skills, with ability to anticipate the business needs.
  • Ability to effectively prioritise, multitask, and meet deadlines in a fast-paced environment.
  • Has the experience/ability to support multiple project administrative requirements.
  • Advanced working knowledge of Office 365, especially Outlook, Teams, Excel, PowerPoint, Word, SharePoint, including experience creating presentations and spreadsheets.
  • Able to deal with company sensitive and highly confidential information/data and ability to handle sensitive information with the utmost discretion.
  • A strong team player who is focused on collaboration and building effective and lasting working relationships.
