Executive Assistant
9 month contract, subject to renewal
Hybrid working, 1 day pw in office
Salary: £28,000 to £30,000
Working for an international charity as part of their Regional Engagement Team. The purpose of the role is to provide high quality administration and support to the Director of Regional Engagement and the wider team. Be the first point of contact for the department and process all payments awarded via the Grants Programme.

Key Tasks:

  • Occasional Programme and Diary management for the Director’s travel, formal and informal events, meetings and meeting venues.
  • Co-ordinating the Grants and Programme Committee, collating and summarising applications, preparing papers and facilitating the travel of attendees.
  • Minute meetings of the Grants and Programme Committee (3x a year) and others as requested, ensuring action points are followed up.
  • Process the department’s monthly credit card expenditure and all dept invoices.
  • Respond to correspondence on behalf of the Director in his absence (following consultation).
  • Ensure good record keeping and retention of relevant files.
  • Facilitate the provision of PPE and other items to regions and chaplaincy teams as necessary, maintaining stock levels and supplier relationships.


Skills:

  • Substantial experience in a busy administrative role
  • Ability to manage a series of projects simultaneously, often reacting quickly to ad hoc requests whilst maintaining a structured work programme
  • Excellent command of Microsoft Office. Basic knowledge of WordPress editor and Raiser’s
  • Edge would be an advantage
  • Ability to understand and process financial information such as budgets and forecasts, preparing reports accordingly
  • Ability to prioritise and respond professionally to stakeholders at all levels, particularly with service users where English may not be their first language
  • Proactive attitude, able to research an issue and quickly identify solutions
