Our client, a city based finance firm are recruiting for a Receptionist & Office Administrator to join their team. This is a fantastic opportunity offering career progression! You will report into the London Office Manager and work within a small team of office support staff to ensure the smooth operation of reception and day to day running of the office across two floors in the building. This role based in the office full time.

This is a client facing role and will require someone who is punctual with excellent presentation with the confidence to present solutions and problem solve. Working proactively and independently but equally works well in a team.

  • Answering busy switchboard phone - 1st point of call and using insolvency inhouse systems to assist with transferring the calls to the correct case administrator.
  • Booking meeting rooms and visitors over two floors
  • Meet and greet of visitors and guests, when external or catered internal meetings are being held. Ensuring meeting rooms are clear and ready to welcome guests.
  • Ordering and serving working lunches when required and investigating new catering suppliers when requested by the Location Manager
  • Working alongside IT support to provide assistance with online meetings.
  • Point of contact for the ground floor reception security team, booking in visitors into the building portal for couriers and deliveries
  • Point of contact for visitors from other offices outside of London, booking desks, visitor passes etc.
  • Assisting the London support team with the scanned post distribution shared rota - delivering paperless solutions
  • Booking courier collections for the office and updating the admin log for disbursements
  • Franking outgoing mail and taking down to ground floor reception team.
  • Receiving and distributing Central emails to the correct case administrator.
  • Weekly stationery and kitchen consumables orders.
  • Ordering printed and branded items using the online portal
  • Arranging ink toner ordering & recycling and contacting printer engineers if faults occur
