We are working with an international creative agency that is looking to recruit a junior Personal Assistant to support the Founder, as well as the wider team. The role would also include assisting with general office management and wider administrative support to the business. This is a fantastic opportunity for a confident, driven and career orientated PA starting out in their career, who is looking to join a dynamic, fast-paced and fast-growing creative agency and provide the best possible support to ensure their continued success.
The agency has ongoing client projects in New York and Boston, Paris and Japan and works with some of the world’s top designers - you would be based with the London team but communicating with a network of talent and clients globally.
A varied role, you will be responsible for overseeing the Founder’s diary, managing his inbox, organising travel, liaising with travel agency and organizing documentation - you will also assist with project research, meeting preparation, finding and purchasing items related to projects, events organisation and general office administration and management.
You will also support the Founder by managing his time in order to streamline his diary and gatekeep effectively to ensure his time is protected. Joining a welcoming and supportive team within a lively environment, you will be highly personable, a great team player and happy to muck in with a variety of duties to ensure the Founder’s life and office run smoothly at all times. You will be hardworking, driven and flexible in your approach, as well as having excellent communication skills and be able to liaise at all levels. There is a strong emphasis on career development and in-house training within this role, especially as the company grows.
Based at the offices in Soho (with flexibility for remote working when the Director is not in office) working hours are Monday-Friday, 09:00 to 18:00.
DUTIES TO INCLUDE BUT NOT LIMITED TO:
- Complete diary and email management for the Founder
- Gatekeeper to the Founder
- Supporting the COO with any operations and office management
- Liaising with travel agents for organising of flights, visas, hotels, etc. according to the Founder’s travel needs
- Bridging the gap between personal and business support for the Founder and COO
- Assist with meeting preparation and project research
- General office administration
- Admin support duties around compliance, HR and insurance
- Taking calls, dealing with queries and issues and providing suitable solutions
- Ad-hoc duties as required
ESSENTIAL CRITERIA:
- Prior experience as a PA/Office Manager would be beneficial, but not essential
- Hardworking, driven and service-orientated
- Flexible approach to work, proactive and reactive when required
- Highly organised, efficient, logical and systems-orientated
- Tech savvy (Google Workspace, knowledge of project management software and/or coding would be advantageous)
- Demonstratable interest in luxury products
- Discrete, loyal and professional
- Confident in a client facing role
- Knowledgeable in social media management (LinkedIn, Twitter, Instagram)
- Strong attention to detail
- Highly personable with excellent communications skills
- Great team player who is also able to work autonomously
- Fluency in English – both written and verbal
- Excellent checkable references
