Fantastic opportunity for a PA with an interest in working within the arts industry! Our client is a prestigious, multifaceted arts agency and consultancy with presence in London and Italy. Based in lovely offices in Mayfair, we are looking for an efficient and bright PA to support the Founders. There will be opportunity to travel and help with the logistics of events.
We will be looking for a PA with a positive and enthusiastic attitude to mould this exciting, varied and brand new role!
Responsibilities will include:
- Diary management for the co-founders
- Assisting with the day-to-day running of the business
- Setting up meetings, travel and accommodation arrangements
- Assisting with viewings for clients in the London office
- Organising of events in London and Italy (managing guest lists, designing invitations etc)
- Working on presentations, portfolios and all other digital material
- Designing newsletters for company outreach
- Liaising with the artists about receiving work and updating consignments
- Managing insurance policies for the spaces and for external projects
- Organising deliveries and post
- Meeting and greeting visitors and providing first-class customer service, making sure they feel comfortable and well-looked after
- Keeping the website up to date
- Coordinating with press and journalists to set up interviews
- Coordinating with auctions houses, other galleries, art dealers
What we are looking for:
- 2+ years of solid PA/EA experience
- Impeccable organisational and communication skills
- Ability to work in a fast-paced and hands-on environment
- Confident to work independently and make decisions quickly
- Strong ability to multitask and prioritise
- Exercise excellent teamwork
- Friendly and approachable with the ability to develop great working relationships
- Pay meticulous attention to detail
- Sound knowledge of MS Office including: Outlook, Word, and Excel
- Knowledge of Photoshop and InDesign would be a bonus
