An opportunity for an experienced Executive Assistant has arisen at this very impressive and slick Art Agency and Consultancy. The directors work across galleries and museums – representing new, emerging and known Artists. They also offer a boutique consultancy and advisory service for a number of Private Clients internationally.

They are looking for a fantastic and highly organised Executive Assistant to be based at their London office which doubles as a gallery space. For this role it is hugely important that you have an established work ethic, confident working autonomously and independently and are hugely responsible. The role will include the following duties:

  • Assisting the co-founders with the day to day running of the business
  • Setting up meetings (both on zoom and in person)
  • Arranging travel and accommodation for the co-founders
  • General diary management for the co-founders
  • Assisting with viewings for clients in the London office when required
  • Assisting with group visits to the London office (particularly museum groups)
  • In charge of the organisation of events in London and Venice (managing guest lists, designing invitations etc)
  • Working closely with the Assistant on presentations, portfolios and all other digital material
  • Working closely with the Assistant on art logistics / shipping on behalf of clients
  • Designing newsletters for company outreach
  • Liaising with the artists about receiving work and updating consignments
  • Office Management duties including:
  • Insurance policies for the spaces and for external projects
  • Liaising with support staff
  • Liaising with service providers - window washing, housekeeping, electrician, photographer etc
  • Managing the office space, deliveries and post
  • Receiving visitors to our office, making sure they feel comfortable and well-looked after
  • Keeping the website up to date (straightforward system)
  • Keeping the office and space tidy for viewings and in good order - checking supplies, printer cartridges etc.
  • Coordinating with partners, eg London Gallery Weekend, Mayfair Art Weekend
  • Coordinating with press and journalists to set up interviews, working with the Assistant to provide them with press packs etc
  • Keeping inventory up to date
  • Coordinating with auctions houses, other galleries, art dealers
