Amazing charity who really are very focussed on pushing forward research and development of new treatments and best practice is looking for an EA to come on board to look after their CEO.  This charity is based in the City and are growing – they are focussed on those affected  with illness with information, advice and practical help. They mobilise and connect people to drive real change.

This exciting opportunity has arisen for an experienced Executive Assistant to support their Chief Executive.  It is an exciting time to join us they implement an ambitious new strategy to be the nation.

You will report to the Chief Executive and will interact regularly with the Executive Team, Trustees and external senior stakeholders and clients .

 

 

Duties:

 

 

 

  • Overall responsibility for the proactive and smooth day-to-day running of the CEO’s office.
  • Acting in a professional manner when dealing with a wide range of internal and external individuals, prioritising matters, acting as gatekeeper in a friendly, professional and timely manner
  • Developing and maintaining knowledge of the charity including strategy, key projects, initiatives, clients and stakeholders.
  • Understanding the business calendar, reporting and meeting structures and developing and maintaining excellent administrative systems to effectively support these.

  • Ensuring the efficient management of the CEO’s diary including organising meetings and conference calls, making necessary travel and accommodation arrangements, and using own initiative to ensure the CEO’s time and impact is maximised.
  • Undertaking proactive preparation and discussions that ensure the CEO is properly briefed, prepared, supported and can achieve effective outcomes and deadlines for all meetings.
  • Managing and maintaining the CEO’s email including filtering emails, highlighting urgent correspondence, responding and delegating as appropriate.
  • Helping to manage key stakeholder relationships with a range of supporters, beneficiaries and other important stakeholders for the charity.
  • The preparation of draft reports, presentations and research documents for the CEO and wider organisation, ensuring the production of timely, quality documents, in terms of research, analysis and initial drafting.
  • Providing support to the Medical Director and Clinical Lead as required
  • Effectively organising and servicing meetings including booking venues, the provision of minute taking and organising catering arrangements
  • Ensuring all communications and correspondence to and from the CEO’s office are dealt with in an appropriate and timely manner.
  • Contributing to ad hoc projects.
