This is a wonderful remote opportunity to join an innovative organisation at the cutting edge of science and medicine. As EA to their fair and personable CEO, you will work at a top level and provide high quality and confidential support. They are based in modern, stylish workspace in Cheshire but you can work fully from home if you prefer. 

Main Duties and Responsibilities

  • Provide a high quality, personalised EA, secretarial and organisational support service.
  • Effective management of the electronic diary, assessing priority of appointments and proactive reallocation as necessary
  • Gain and maintain a clear understanding of the business activities and daily priorities of the CEO whilst working proactively with them to ensure the schedule is appropriately prioritised.
  • Work with other senior colleagues to ensure they are suitably prepared and briefed where necessary on the proposes of meetings so that they remain focussed
  • Produce, where necessary, briefings for the CEO
  • Produce and manage correspondence, memos and reports from written copy or audio and prepare presentations as required.
  • Liaise with all business areas, where relevant to ensure that the CEO is informed and able to contribute to matters of personal importance and for relevant rapid response opportunities, where needed
  • Make travel arrangements, book accommodation and process claims for expenses.
  • Provide support for an extensive range of meetings.
  • Receive and deal with telephone calls professionally, re-directing or taking messages and using initiative to deal with queries.
  • Sort, distribute and respond or draft responses to incoming (including electronic) mail in a timely and efficient manner
  • Provide high quality and professional office hospitality to visitors.
  • Provide support to other PAs in the organisation of company-wide meetings, major events and other employee interactions with the CEO.
  • Coordinate Executive, Board and sub-committee meetings and associated social events, responding to members in a timely and professional manner. 
  • Prepare and send out Board papers (including minutes and agendas) to an agreed timetable. 
  • To attend Board meetings to minute proceedings ensuring accuracy of discussion.
  • Develop, maintain and review Executive and Board administration systems to achieve maximum efficiency.

Skills and experience

  • Supported a CEO or Board level individual previously 
  • A flexible, pro-active approach to work including the ability to prioritise and re-prioritise to achieve successful outcomes
  • Excellent written English and the ability to communicate at all levels.
