Role: PA/Office Manager

Days: Monday - Friday

Salary: £30,000 GPA

We are working with a privately owned ship management company, who are looking for a sparky and hungry PA/Office Manager.

The role is to support two Directors in carrying out their day to day requirements of diary management, travel bookings, expenses and meetings etc. You will also be responsible for the smooth running of the office from acting as a front of house and welcoming guests to keeping on top of the office supplies and maintenance to assisting with HR matters for the company. 

The company is based in Victoria and would like the candidate to be based from the office five days per week. There may be flexibility further down the line but you must be happy to attend in person when required.

The benefits will include a discretionary performance based bonus, a work phone and contract along with health, dental and life insurance.

Duties and responsibilities;

  • Diary management across multiple time zones
  • Booking travel for the Directors and all staff in the office including hotel bookings
  • Reconciling expenses and receipts
  • Restaurant reservations & in-house lunch orders
  • Front of house duties from fielding calls and taking telephone enquires with a confident and happy manner to welcoming guests and visitors 
  • Provide refreshments; teas & coffees etc for meetings/visitors
  • Booking couriers – bike and DHL bookings
  • Post distribution – assist with outgoing and incoming mail/courier deliveries
  • Manage the day to day running of the office from ordering office supplies to booking maintenance and service contractors
  • Ad hoc admin/PA duties for the office when needed – filing, photocopying, holiday cover
  • Coordinating HR related matters such as health and dental insurance plans, renewals and claims etc

To be considered for this role you must;

  • Have 3-5 year’s experience as an Office Manager and PA
  • Be fluent in the English language
  • Be eligible to work in the UK
  • Have a valid passport
  • Computer skills in Microsoft Office – Outlook, Word, Excel
