Our incredible client are looking for an Office Manager to provide support and management to their London office. This role will report to the COO and help with the day-to-day management of an office of 20-25 people. The ideal candidate will have experience in providing a range of operational activities, including general administrative duties, supplier management, IT procurement and travel support. This position is “the face” of the company in London and must represent and demonstrate our values. The role will be a good match for someone energised by problem-solving, who works well under pressure and understands the flexibility and level of service required to run a professional office.

RESPONSIBILITIES Office management
- Management of day-to-day operations of the office
- Providing front of house support and welcoming clients and suppliers
- General management of the office to ensure that we provide our staff with the optimum experience and the environment maintains a professional look and feel.
- Effective management of company subscriptions
- Working with 3rd parties and suppliers to confirm health and safety standards are adhered to, along with other legal requirements
- Liaising with building management to deal with any office related issues
- Partner with the Office Lead to run weekly office meetings and update staff on Operational issues
- Organising and managing social events throughout the year
- Ensuring the office is COVID-secure, implementing and updating risk assessment
- Play a key role in the arrangements and inductions of new joiners and the exit process for leavers within the London team
- Tracking London office administrative and company information documents to ensure they are always up to date
- General EA support to senior management, including setting up and coordinating meetings
- Administrative support services (proposals printing/delivery, visa processing, courier, basic office management)
- Travel – coordination with other Office Managers to advise staff on travelling to the Gulf countries
- Oversee travel and accommodation requirements for the London team, and support other offices’ travel arrangements as needed
- IT set up for new starters in the office (we use MacBooks and iPhones)
- Management of the IT equipment inventory for the team
- Purchasing of IT equipment for the team
- Liaise with the IT team to manage distribution lists in Microsoft Office & Groups on Dropbox
- Communication of IT roll outs and updates to all staff
SKILLS REQUIRED Essential
- Excellent Microsoft Word, Excel & Outlook skills
- Microsoft Outlook, email, and calendar management
- Excellent written English
- Highly organised
- Laser focused attention to detail
- Focus on quality, discretion and confidentiality.
