A fantastic opportunity for a well presented, articulate, highly capable EA who is looking for a role outside of London. We are looking for an EA to provide executive support in all respects to the CEO and founder to ensure efficient management of their corporate and family office, including personal affairs. You will be required to liaise with internal and external parties to manage the logistics of the CEO’s daily work, including presentations, interactions and scheduling time. This role will be working as part of team, alongside another senior level EA. Ideal candidate will have worked in a corporate / professional services background previously.
They do offer flexible working and hours are 9-5pm Monday – Friday.
Responsibilities:
- Managing multiple diaries and the production of complicated itineraries and time planners.
- Organisation of logistics, meetings, and emails throughout the day.
- Scheduling of meetings to ensure the CEOs' involvement takes place at appropriate times, where their input and authority are most needed.
- Preparation for and follow up on meetings; ensuring the CEO has all the information necessary to be productive and engaged and action tracking following meetings.
- Gate-keeping and prioritisation of the flow of communications to and from the CEO Office.
- Assisting with the preparation of presentations and other communications, including drafting letters and documents.
- Attending meetings on the CEO’s behalf; documenting key points and decisions.
- Leading business administration for the CEO; contributing to the preparation for internal and external meetings, including key governance meetings. Organising and gathering information from various sources and concisely presenting and reporting such information.
- Assisting in the timely completion of strategic projects.
- Carrying out research tasks as directed by the CEO or private office.
- Maintaining smooth and efficient working relationships with other parties to ensure seamless coordination between internal departments, family members and private house employees.
- Maintaining accurate and detailed contact CEO relationship information.
- Assisting with the preparation and coordination of both corporate and personal events.
- Supporting private expenditure office finance and reporting, including invoice payments, analysis and private banking affairs.
Requirements:
- Exceptionally organised with extensive experience managing diaries, meeting deadlines, and balancing multiple tasks.
- Financial reporting/analysis skills.
- Excellent written and verbal communication skills, including strong project reporting skills.
- Flexible and willing to perform varying duties depending on the shifting needs of the CEO.
- Minimum 5 years’ corporate industry experience. Strong preference for Professional Services firm experience
- Comfortable speaking with people at Executive level.
- Integrity, trustworthiness, discretion, and proven ability to deal with confidential matters appropriately.
- Enthusiastic, resilient, positive and helpful.
- Strong attention to detail.
- Intuitive and flexible approach to problem solving.
- Proficient in all MS Office packages.
