Executive Assistant in IR - West London £45K - £55K
We have an amazing opportunity to work 4 days on site and 1 from home in a super boutique high performing finance house based in super offices in West London. Hours: 9 - 6.
We are looking for an outstanding individual who is hardworking and capable and is used to the pace of finance and perhaps come from an investment banking, private equity or management consultancy background, but this is by no means essential.
You will be supporting a busy team of around 4/5 and they are very friendly and career committed and are looking for a really good EA to support them in an amazing Investor Relations team.
The role is handling heavy travel and logistics, but also you will have chance to assist in event planning and we are looking for a candidate that has growth potential and is career committed and is confident interpersonally and a natural ambassador.

Executive Assistant within IR.
The role is supporting a busy Director who is outstanding in her field and the ideal candidate will possess excellent core administrative and organisational skills, combined with strong communications/client relationship management skills.
The incumbent should possess a high attention to detail, coupled with the ability to work independently in a fast-paced environment and a proactive/enthusiastic attitude. An understanding of the IR function is a plus.
DUTIES/RESPONSIBILITIES
· High volume of scheduling and diary management for Director to include meetings, conference calls and VCC with attendees across multiple time zones. Liaising with technical contacts as required.
· Rescheduling commitments, often at short notice due to changing business needs
· Build, develop and maintain relationships with key investor and other regular contacts
· Excellent telephone manner. Answering phones and directing calls to the appropriate parties in an efficient and professional manner. Taking clear and concise messages and passing these on accordingly
· Provide full secretarial support, including filing, retaining documents, dealing with all correspondence, drafting replies
· Printing and binding documents.
· Organising worldwide but mostly European travel arrangements, including hotel, flight and ground transportation
· Collating documents for meetings in a timely manner
· Liaising with staff from all business entities on a daily basis
· Respond to and follow up enquiries by post, telephone and emails
· Support and assist as required other Assistants including reception who are either absent or have a heavy workload
· Potentially also supporting an additional senior team member in another team.
· Managing conference registrations.
· Preparing and submitting expenses.
· Coordinating necessary visa and passport renewals.
· Willingness to assist with all manner of tasks. Examples of this may include laying out lunches, making hot drinks, running errands and keeping the office clean and tidy.
· Additional duties and tasks as required.
INVESTOR RELATIONS RESPONSIBILITIES SKILLS
* Arrange high volume of investor meetings across two separate private equity teams
* Maintain two IR calendars and arrange roadshows globally but primarily in Europe. Includes responsibility for venue, invites, presentations, communications and travel arrangements.
* Maintain CRM system.
* Preparing and distribute agendas, briefing materials and other relevant materials to Director and Partners for key meetings.
* Distribute and print presentations in advance of investor meetings.
* Event management of the Annual General Meeting, including sending out invites on behalf of the Director, monitoring responses, making arrangements with the venue and being present on the day to oversee the smooth running of the conference.
* Monitor two investor relations inboxes and escalate important correspondence as needed.
* Excellent communication skills and ability to liaise at all levels.
* Good judgment and ability to build relationships with colleagues and business partners
* Ability to manage multiple tasks and priorities under tight deadlines and maintain composure in a high-pressure environment.
* Knowledge of the Investor Relations Function a plus.
* Advanced MS Office skills (PowerPoint, Word, Excel, Outlook).
* Discretion, diligence and autonomy.
* Confidence to manage upwards in an appropriate manner.
* Ability to work as part of a team supporting other administrative and investment team members.
* Resilience and the ability to maintain professionalism and calm at all times
