Executive Assistant to Director of Estates

Oxford

£27,924 rising to £30,497

An opportunity has arisen for an experienced and flexible Executive Assistant to join the professional services team in the Directorate of Estates and Campus Services. We are looking for someone with a systematic, thorough, and well-organised approach to work and the ability to cope with tight deadlines, unpredictable volumes of work and rapidly changing priorities. An excellent communicator, you will be confident in dealing with a diverse range of people in a professional and personable manner. You will be the first point of contact for the Director, so tact, discretion, and a welcoming and positive attitude are therefore essential.

In addition, the Executive Assistant will have meticulous attention to detail coupled with an ability to work under pressure in a busy office environment. You will be reliable, adaptable and resilient with a flexible approach to working hours; someone who is committed to delivering high-level confidential support at the highest level.

You will be responsible for:

  • Delivering high-level confidential support to the Director of Estates and Campus Services
  • Complex electronic diary management and understanding the Director's workload to ensure deadlines are met
  • Ensuring the Director is fully prepared for all meetings with appropriate papers, producing itineraries, agendas etc.
  • Liaising with staff in the Faculties and Directorates and external stakeholders of the University by telephone, in person or in writing as appropriate, on behalf of the Director

You should have:

  • Previous experience of providing senior PA/EA support to an Executive
  • The ability to set up effective systems and work with meticulous attention to detail
  • Confidence in using Google applications
  • A flexible attitude to work

Benefits of working at Oxford Brookes University

Flexible working: The Directorate of Estates and Campus Services is present on all campuses but this Executive Assistant role is based centrally on our Headington campus in a newly-refurbished open plan office, offering a range of workspaces. We combine time in the office with regular working from home and remote working. We welcome conversations about flexible working arrangements.

Pay increases: Your salary will increase each year in line with our pay scale in addition to any cost of living awards that are agreed by the University.

Professional development: We offer a comprehensive programme of training and development. We actively encourage the team to think about their future development and are keen to support career progression within the team.

Annual leave: You will also enjoy up to 38 days annual leave, rising to 41 days (this includes 13 Bank Holidays and Concessionary Days)

Pension scheme: We offer the Local Government Pension Scheme which is one of the largest pension schemes in the UK. It is a defined benefit pension scheme, which offers a valuable package of benefits for members and their dependents.

We also offer a cycle to work scheme and access to a variety of university facilities (NHS Dentist, Brookes Nursery, Gym and sports facilities).

As one of the largest employers in Oxford, we pride ourselves in the great experience we offer our staff. Whatever job you are applying for, you'll be joining a friendly, professional environment where every member of staff is recognised as important to the success of Oxford Brookes University.

A recently appointed member of staff said “it was inspiring coming into an organisation where staff have been working for significant lengths of time, which means OBU must be doing something right! 12 weeks down the line and I understand why - the people and my induction. Every person I have been in contact with has not only gone out of their way to help me, but made me feel like a valued member of the team and for that I am thankful. I am looking forward to hopefully a very long career with Brookes.“

We know that sometimes people can be put off applying for a job, but we realise the 'perfect candidate' doesn't exist. So, if you are excited about working for us, go ahead and apply for this Executive Assistant role. You could be exactly what we need.
