Executive Administrator, renowned heritage organisation, 3-month temp role, £15-£16 p/h plus holiday pay.

Our client, a renowned heritage organisation, requires a dynamic Executive Administrator to support the efficient running of a busy high-level suite of directors’ offices. This is a 3-month role whilst they recruit permanently.

The main duties of this Executive Administrator role are:

  • Supporting the Executive Support Assistant with managing the Directors diaries, including cover during periods of absence
  • Acting as Meeting Secretary and providing administrative support for internal meetings
  • Conducting research for the Director for meetings, travel and speeches
  • Maintaining office supplies and stationery
  • Opening, logging and tracking incoming correspondence and managing outgoing mailings
  • Keeping a log of invitations, responding accordingly, and managing outgoing invitations
  • Making domestic travel arrangements and producing itineraries as required
  • Prepare monthly expenses and processing purchase orders.
  • Arranging hospitality, visits and tours for relevant stakeholders
  • Supporting the wider Group Directorate team with ad-hoc administrative tasks and project work where required
  • Dealing with sensitive and confidential information

Skills and experience

  • Excellent verbal communication skills and confidence in dealing with people at all levels
  • Previous experience in an PA/administrative role in a busy office environment
  • The ability to prioritise workload, manage time and respond flexibly to requests
  • Excellent interpersonal skills and a friendly, welcoming and professional manner
  • Proficient written communication and proof-reading skills
  • Enthusiasm and a helpful attitude to requests and research
  • Excellent organisation, follow up and attention to detail
  • Strong Microsoft Outlook, Teams, Word, PowerPoint and Excel skills
