Role: Personal Assistant / Administrator 

Location: White City, West London 

Days: Monday – Friday 

Hours: 9am – 5.30pm

Salary: DOE

Start: ASAP  

We are on the hunt for a Personal Assistant/Administrator to join our wonderful team based within an office in White City, West London. Our busy agency staffs the private households of high-profile clients both in London and internationally. 

This is an exciting role, supporting the Director across a number of personal projects and business areas. Your role will be to assist the Director 1:1 with a work ratio of 80% business and 20% private. No two days are the same in the office so you must be able to multi-task and be adaptable. 

You must be discreet, have impeccable attention to detail, be highly efficient and possess excellent communication skills (both verbal and written).  

We can offer an immediate start, but are also willing to wait for the right candidate if you have a current notice period. 

Duties; 

Personal support: 

  • Personal administration for the Director and family 
  • Assisting with managing home-related issues (billing, repairs, cars, insurance etc) 
  • Booking appointments and diary management 
  • Reservations and appointments
  • Liaising with nurseries and schools 
  • Occasional childcare
  • Running errands and personal shopping

Business support: 

  • Diary, inbox and meeting management, setting reminders and preparing relevant material for meetings 
  • Liaising with candidates and high profile/UHNW clients
  • Answering the phone, filtering calls and taking messages 
  • Creating job specifications and advertising on various platforms 
  • Arranging interviews with candidates on behalf of the consultants 
  • Negotiating pay and salary rates and finalising employment contracts 
  • Raising and sending invoices 
  • Maintaining the database and filing systems  
  • Ensuring the office is tidy and prepared for meetings 
  • Ordering stationery and office supplies  
  • Flights and travel booking 
  • Assisting with new business/website development 
  • Event organisation 

To be considered for this role you must; 

  • Have 3+ years’ experience working as a Personal Assistant 
  • Have excellent contactable references 
  • Be eligible to work in the UK 
  • Be fluent in English Language 
  • Be computer literate
