We are working with a highly successful head-hunting firm in the financial sector who are looking to appoint an experienced Executive Assistant to support their busy Founder/Director.  This company prides themselves on going the extra mile for their clients and have made a name for themselves in the industry – they are now expanding at a rapid rate and are looking for and EA who is dependable and dedicated. Although based in London, most of their business is conducted in France, hence the need to be fluent in French and English. Ideally you will have experience in the financial sector or in the executive search industry and hold a degree education, however this is not essential.

You will be a conscientious go-getter who has the ability to seamlessly adapt to this fast-paced professional environment, as well as have excellent communication and writing skills in both languages, as this forms an integral part of the role. A trustworthy as well as dedicated individual who is aware of the required and necessary discretion in this role you will be a right-hand to the principals and their go-to for all matters.

The usual working hours are Monday to Friday from 8am-6:30pm, with some flexibility required. You will find yourself at work near London Bridge in a team that is ambitious, hard-working but with a focus on the social element of team-building and overall inclusion of team members.

CORE RESPONSIBILITIES TO INCLUDE BUT NOT LIMITED TO:

  • Managing the directors’ inbox and diary coupled with general administrative tasks.
  • Ensuring the smooth running and organisation of the office, in the event of the director’s absence.
  • Scheduling and attending meetings with various stakeholders with the intention of providing advisory information to and for the director.
  • Being confidently able to create and present the necessary supportive documentation – in the Microsoft office products namely Excel, Word and Power-Point but with the ability to learn the company’s internal software as well.
  • Possessing the aptitude to ensure that consultant’s pay/ commission and creditors are paid in a timeously and effective manner as well as ensuring invoicing is carried out accurately.
  • Support to the team by candidate vetting and reference checking as well as making sure that terms and conditions are reviewed with the clients.
  • Ad hoc organisation in terms of business trips, company events and social team-building activities.
  • Pro-actively engaging with the company’s social media presence on LinkedIn and being able to successfully implement strategy to achieve their growing social media goals.

ESSENTIAL CRITERIA:

  • Minimum of two years’ experience in either Financial or Executive search setting, however our client will consider other transferrable industries.
  • Scrupulous eye for detail and ability to multi-task in a high-pressure work environment.
  • Be able to conduct yourself in a personable yet autonomous manner.
  • Excellent negotiation skills in terms of provider interactions.
  • Spoken English and French mandatory in order to effectively engage with the team as well as clients and other stakeholders.
  • Confidently able to handle all spheres of technology – internal databases, social media and the common programs in use.
  • Having a positive outlook, being mindful of the team environment with strong interpersonal skills.
  • Excellent checkable references.
