ROLE POSITIONING AND OBJECTIVES

Provide comprehensive administrative, organisational and secretarial support within a high-volume multi-tasking environment. Activities will include interaction with various senior internal and external stakeholders and the job holder will execute various planning, organising and coordinate activities. BAT is looking for someone who is conscientious and highly flexible EA with Senior/Board level experience. Ability to communicate clearly and confidently across all levels of the Company and with external partners. Someone who has a proactive approach, who works well with very little direction and a positive attitude. An energetic person who can fully engage with the team and build a positive environment whilst keeping everything on a smooth track. Good under pressure, can power through tasks and able to keep their sense of humour when things become challenging. Someone with the maturity to liaise with Board members when required whilst maintaining the utmost discretion.

WHAT YOU WILL BE ACCOUNTABLE FOR

  • Manage each Director’s electronic calendar to ensure all meetings/market visits are in place which involves constant checking and updating. There are more than 30 other complex meetings to manage each year in addition to Main Board meetings, Regional Audit Committee meetings, Global Leadership meetings, Corporate Committee meetings.
  • Screening and filtering of correspondence and callers to the Director to ensure optimum use of their time whilst maintaining positive relationships with both internal & external people.
  • Provide both organisational and administrative support to the Director using initiative and proactivity.
  • Plan and manage the daily, weekly, monthly and annual schedules, liaising closely with different EA’s around the Globe.
  • Plan and manage complex travel arrangements, comprising all flights, itineraries/ programmes, and liaison with end markets throughout the world.
  • Ensure Director is up to date with critical events and issues, as well as routine issues, regardless of their whereabouts at any time.
  • Ensure Director is adequately prepared for each meeting/event/trip on daily basis. This may include providing research on individuals and organisations.
  • Prioritise and process all queries and correspondence, follow-up and respond on Directors behalf where possible.
  • Provide confidential administrative/secretarial services covering highly sensitive work.
  • Undertake project work as requested.
  • Organise, maintain and monitor the social diary for the Director and deal with their private and personal affairs as requested.
  • Organise back-up secretarial support when required.
  • Make sure that all files are filed as per BAT policy.
  • Organise/attend meetings in the UK/overseas as required.

ESSENTIAL EXPERIENCE, SKILLS AND KNOWLEDGE

Experience Required

  • Exceptional organisation skills with the ability to anticipate requirements, prioritise their workload and that of managers (where appropriate) and set daily/weekly objectives and targets.
  • Self-motivation, organization and the ability to anticipate requirements, plan ahead and priorities.
  • Excellent inter-personal skills and team working skills.

Technical / Functional / Leadership Skills Required

  • First class organisational and administrative ability.
  • Excellent secretarial skills
  • Excellent computer literacy including Word, PowerPoint and Excel.
  • Decision making skills.
  • Sensitivity to diverse cultures.
  • Sufficient appreciation of the business to recognise and understand priorities.
  • Team building ability – as part of the Directors’ Executive Assistants team.

Education / Qualifications / Certifications Required

  • IT literate: excellent keyboard skills and advanced skills in current versions of Word, PowerPoint, Excel, Outlook. Good user knowledge of SRM.
