Client Services Admin Assistant required to provide full admin assistance to a team of Account Managers, working within in a close knit team managing a busy workload where lots of initiative and common sense are key, this is a great role to make your own.
The purpose of the role is to assist the business deliver the highest quality service to clients, ensuring they are dealt with in a professional manner. The role sits in the Account Management Team and is fast paced and multifaceted, primarily supporting the Advisers with client enquiries, preparing and sending client communications, both through letter and electronic mediums, maintaining records, and gathering information.
Responsibilities:
- Maintaining accurate and up to date client records, dealing with client instructions and establishing workflows on client accounts both internally and externally.
- Generating Client Documents: These vary between client valuations, meeting documentation, client onboarding and tax related documentation, third party forms and instructions.
- Identifying opportunities to improve the processes within the department.
- Form Preparation – Instructions to other parts of the business regarding client accounts, third party provider instructions.
- Updating client records: Changing of address, circumstances, asset records, bank details, etc.
- Formatting and checking all outgoing correspondence from consultants and collating / creating the necessary enclosures.
- Diary Management, arranging meetings, booking internal and external lunches.
- Quality control across client publications, including marketing material, client forms, factsheets, booklets, presentations, performance graphs and tables, investment reports,
- Investment Strategy update, templates/documents and mail merges.
- Daily administrative tasks as they arise including reception, post and office management support.
