We have an exciting opportunity for an experienced Private PA / Executive Assistant with specialist IT skills to support UHNW Family from their Family Office based in Knightsbridge, London. Joining a small team (5 people in total) you will be responsible for overseeing the smooth running of the family’s personal life including managing their business and personal diaries, complex travel management and booking luxury family holidays, overseeing household staff, planning and organising events, and general organisation and administration. The client is also looking for a highly tech-savvy candidate, who can assist their IT specialist, and cover for him in his absence.
You will need to be well-polished, have meticulous attention to detail, have incredibly high standards, have a ‘can-do’ attitude. You will be an IT pro and be confident with all Mac and Microsoft programmes, printers and IT accessories, and be able to assist with any server issues that arise.
You will need to be flexible in terms of duties and responsibilities, and always prioritise the interests of the principals. You will need to be loyal, discreet and looking for a long-term commitment.
Usual working hours are Monday to Friday from 10:30am to 6:30pm, you will also be required to work alternate weekends (reduced hours in the office), with time given back in lieu during the week.
RESPONSIBILITIES TO INCLUDE, BUT NOT BE LIMITED TO:
- Diary management - business and personal, across multiple time zones
- Travel management - organising business and personal travel, including luxury family holidays, transfers, hotels and visas, and preparing detailed itineraries
- Organising and assisting with events; parties, dinners and larger events
- Correspondence management – email, post, phone calls
- Ad-hoc project management
- Finances and managing any expenses
- IT support and problem-solving
REQUIRED CRITERIA:
- Extensive prior Private PA experience is essential for this role
- Excellent IT skills and the ability to solve any office IT issues
- Highest level of discretion and confidentiality
- Fluent English - excellent written and verbal communication skills
- Well-polished and professional
- Excellent interpersonal skills and the ability to build brilliant working relationships
- Discreet, loyal and hardworking
- Strong organisational skills and a meticulous eye for detail
- Good tech skills
- Calm with the ability to work well under pressure
- Positive and self-motivated to achieve high standards
- Ability to multi-task, prioritise, be proactive and demonstrate self-initiative
- Excellent checkable references
