We have a great new opportunity for a highly experienced Executive Assistant to join the Rhodes Trust based at Rhodes House. The EA will work collaboratively providing a comprehensive range of office administration and EA support to a Director at the Rhodes Trust.

About the role
The Executive Assistant (EA) will work collaboratively providing a comprehensive range of office administration and EA support to a Director at the Trust. The position offers the opportunity to be involved in a busy, and fast-moving environment.
We would ideally like the successful candidate to start as soon as possible. The role will be responsible for;
* Proactively managing diaries, scheduling and maintaining all details efficiently and effectively while anticipating opportunities to ease demands on the Director's time
* Managing the Director's inbox and prioritising email responses and replying on the Director's behalf as necessary
* Providing support and coordination for a wide range of meetings, ensuring supporting materials are distributed on time, coordinating attendee invitations, organising room/virtual bookings, catering, preparing meeting papers, taking minutes, recording and circulating actions, creating agendas, reports, presentations or handouts
* Planning and booking international travel arrangements and itineraries for the Director, and other team members where required, including any visa arrangements
* Ensuring that documents, letters, reports etc. for Director are produced against deadlines, in preparation for committee meetings and detailed briefing documents
* Planning and coordinating events, workshops and convenings on behalf of the department
* Carrying out general administrative support to the Heads of/Directors of the department
The ideal candidate for this role should have significant demonstrable experience of managing the administration of a busy senior office and of supporting executive-level officers in a pressurised international business environment. You should be a team player, flexible and willing, on occasion, to work outside regular hours. You must have the ability to work on a multiplicity of tasks independently and at the same time, and to organise and prioritise own work, including coping with unpredictable volumes of work and busy periods.
