A great opportunity to provide an efficient and comprehensive business support service to the Chief Executive, Chairman of the Board and Deputy Chairman.  This role is hugely varied in content and you will mainly be providing business and some personal support to the CEO who is new in post with ad hoc support to the Chair and Deputy Chair.  Key for this role is someone who has previously worked at senior level and is able to take control and work independently.  Typical duties include diary, meeting and some travel but also ad hoc project and research work.  We are looking for highly organised, detail orientated candidate who has excellent communication skills with the ability to juggle a busy and forever changing work load.

This role is mainly office based, in Canary Wharf but from time to time there will be WFH opportunities.  The team are supportive and friendly and the working environment is relaxed and collaborative.  Key for this role is a strong EA background, experience from a professional services/ insurance/ legal environment would be helpful but not essential.

Key Skills

  • Ability to identify priorities, use initiative and work to deadlines
  • Discreet, trustworthy and able to maintain strict confidentiality
  • High level of written communication skills, proficient typing skills, capable of drafting
  • letters
  • Ability to manage electronic diaries/filing systems
  • Proficient in Word, PowerPoint, Excel and Adobe
  • Developing, editing and ‘improving’ PowerPoint presentations
  • Familiar with researching and booking travel arrangements
  • Strong administrative skills and exceptionally well organised
  • Able to deal effectively and diplomatically with internal and external contacts at all levels
  • Good communications skills and telephone manner
  • Understanding of medical and legal terminology an advantage
  • Ability to act quickly to last minute requests and demands
  • Punctual and good time management

Duties:

  • To deal with external and internal post (including email)
  • The provision of a comprehensive administration and secretarial support service including word processing, photocopying, document management, filing and email/internet
  • Personally undertake routine tasks i.e. composition of standard letters / emails and dealing with general enquiries
  • To undertake research, prepare reports, responses, presentations and briefing papers for the CEO and members of the Executive as required.
  • To maintain an effective diary management system , coordinating appointments and meetings for the CEO, Chairman and Executive
  • Arrange venues and hospitality for meetings.
  • Meeting organisation with relevant paperwork
  • To organise travel and accommodation as necessary
  • Handling initial telephone calls into the Executive, screening and re-directing to other resources if more appropriate and personally resolving routine enquiries.
  • Personally undertake organisation of suitable events/functions
  • Maintain the Executive filing systems in both electronic and hard copy
  • Expense management on behalf of the CEO and Chairman
  • Ad hoc project work as and when required
