A brilliant EA role has come up in the equestrian / racing industry. A hugely varied role supporting a very dynamic and charming CEO. Based in gorgeous offices in Westminster, this is as buzzy, fun and social environment! They are seeking a highly experienced EA to manage the CEO’s busy life, assisting mainly on the business side. On top of this, there will be office manager duties and coordinating exciting events and dinners.

Duties might include:

  • Act as 'Gatekeeper' for the CEO, screening many of his calls in a professional and efficient manner
  • Organise and pre-empt the CEO and make sure he has everything for meetings, travel packs and reports
  • Providing support to other Group Directors as and when required and act as a point of contact to various members of the leadership team
  • Provide private PA support to CEO and family as required and critically ensuring that family and business matters are linked and managed effectively
  • Deal with emails and correspondence promptly, including charity vouchers
  • Organising internal & external meetings (and attending Board meetings) including drafting and circulating agendas, preparing minutes, confirming venues and arranging refreshments
  • Extensive diary & inbox management for CEO and Chairman
  • Liaise with areas of the business on behalf of the CEO
  • Organising travel for internal staff
  • Producing documents, reports and presentations
  • Helping with events and raceday logistics, including travel and catering
  • Recording and overseeing holiday for CEO’s direct reports ensuring adequate coverage remains in place
  • Managing one direct report
  • Monthly administration of expenses and other financial matters, raising purchase orders and tracking invoices.
  • Arranging payment of personal bills/invoices and bank transfer requests and liaising with accounts
  • Purchasing personal items, gifts and running errands
  • Ensuring the office runs smoothly and project manage any office related activities such as office moves, away days and team events (delegated to Office Manager)
  • Establishing and maintaining relationships with key industry heads
  • Ad hoc projects/requests
