Junior Team Secretary for financial city client (12 month FTC, £28,000)

To provide administrative support to the secretaries within the team.

•             Liaising with accounts collating information to produce client invoices

•             Undertaking research as requested

•             Printing/scanning/organising documents

•             Organising Business cards

•             Assisting with couriers

•             Maintaining appropriate office supplies (stationery supplies, printers etc)

Meeting Co-ordination

•             Organising meetings and calls

•             Being aware of potential meeting conflicts and differing time zones

•             Booking meeting rooms, catering, external venues and equipment

Travel

•             Organising international/domestic travel

•             Arranging itineraries, visas, airport transfers, hotels

Expenses

•             Collate and process expenses using Concur in a timely manner

Communication

•             Ensuring that all calls and oral communications are appropriately recorded

Skills Required

•             Good knowledge of Outlook, Microsoft Word, Excel and PowerPoint

•             Effective communication skills

•             Pro-active attitude with the ability to demonstrate initiative, attention to detail and reliability

•             Self-motivated, reliable with a flexible attitude

•             Ability to act with good judgement and common sense

•             Good team player
