We are currently recruiting for a PA to Group Chief Information Officer, CISO and Head of IT for this Global Retailer based near Bond Street in the West End. In this role you will provide them will full support by effectively planning and organising their busy schedules and business affairs.
Duties will include but not be limited to:
- Proactive manage inbox, diaries and meetings, including arranging/scheduling appointments, coordinating dates, times, and locations for meetings Organising Video Conferences, room bookings, catering and dial-ins
- To arrange multi-destination international travel itineraries including booking of tickets, hotels, transport and keeping on top of changes.
- Managing all Visa or medical arrangements and currency requirements.
- To effectively filter calls and requests and manage them in a manner suitable to the priorities of the Group CIO, CISO and Head of IT and the business.
- To ensure all correspondence and relevant materials required by the Group CIO and the team are produced in a timely and accurate manner – includes PowerPoint, documentation, briefs, presentations, formatting documents.
- To assist with researching, manipulation of data and editing of presentations, including the preparation of weekly meeting presentations when required
- To act as the point of contact for the departments among executives, employees, clients and other external partners.
- Liaise with relevant departments, in particular HR and IT, in respect of new joiners
- To establish and manage the invoice and expense process for the Group CIO, CISO and Head of IT, including invoice payment, AMEX bills, personal expenses, phone bills and foreign currency order and return.
- Event coordination for various department conferences both UK and International.
- Provide general Secretarial/Administration to the team including maintaining departmental databases, organisation charts etc
- Manage projects and follow-up with team members where required.
- Promoting excellent client relationships at all times.
- Supporting visiting colleagues from other offices.
- Arranging couriers for confidential information that directors require to be sent to other businesses
The person;
You will have previous experience supporting senior level Executives, ideally from a major Plc, previous support within the IT function would be extremely beneficial, but most importantly is the individuals can do attitude and ability to build relationships with peers and stakeholders across the business. This is a key function across the business, so excellent verbal and written communication skill are a must. You will be high organised, proactive self-starter whilst also being a team player.
