We are seeking for a self-starter PA to the Managing Director who will be responsible for providing the highest standard of organisational, administrative and commercial support.

Job Role:

This position is a key hire and the successful individual will provide support to the Managing Director across the full spectrum of secretarial, administrative, finance and commercial support functions.  The main duties include:

  • Managing diaries, organising meetings and appointments, ensuring time is maximised and deadlines are met.
  • Setting meeting agendas, taking and circulating minutes in a timely manner as well as following up on agreed actions
  • Acting as a communication channel with the wider business and external clients.
  • Preparing professional level of management and board reports, PowerPoint presentations, emails, letters, business plans and documents, ensuring data is presented effectively and professionally
  • Screening phone calls, enquiries and requests, and handling them when appropriate
  • Booking and arranging travel, transport and accommodation.
  • Handling the MD incoming and outgoing post; ensuring relevant information is communicated down to the relevant staff
  • Providing general personal assistance and administrative support to the Managing Director

Desirable experience and qualities:

  • Previous experience of working for Directors/Senior Management is essential
  • Excellent administration skills with proficient in Microsoft Office- Outlook/Word/Excel/Powerpoint, and diary management
  • Self-motivated with the ability to work without close supervision and using own initiative
  • Strong organisational skills with the ability to prioritise work and manage time effectively to meet deadlines
  • A confident individual with great communication skills
  • Forward thinking and strong analytical skills to solve problem’s (diary clashes for example)
  • Ability to maintain a high level of discretion
