Our client is a private property company with a history of investing in property with long-term growth, and a diverse portfolio of properties throughout the UK.  They are a small team of 15 with an office in the City and they are now looking to hire a permanent PA to support 3 Executive Directors.  Hours are 9.30am to 5.30pm Monday to Friday with one day working from home.

Duties include:

  • Diary management on behalf of all 3 Executive Directors – booking internal and external meetings, Zoom and MS Teams calls and restaurant booking for client lunches
  • Booking travel arrangements within the UK and occasional trips to Europe
  • Assist in organisation of the Annual General Meeting and shareholders' luncheon, including typing up name badges for shareholders, lunch invitations and proxy forms. Also type up table plan, menu and place cards. In attendance at pre­ AGM to sign-in members and check the luncheon table setting as per table plan
  • Typing and despatching the Agenda and relevant papers to Directors in preparation for Parent Company monthly Board Meetings
  • Take minutes in meetings
  • Answering incoming calls, taking messages, email messages to the relevant staff member
  • Filing
  • Arranging couriers
  • Sorting and distributing of post occasionally
  • Setting up the boardroom for meetings (tea/coffee etc)
  • Produce documents in Word and PDF and vice a versa
  • Banking reporting
  • Produce PowerPoint presentations

Salary is £30,000 - £33,000.  Benefits include 10% of salary pension contribution, life assurance, private medical insurance, 25 days holiday plus Christmas closure and discretionary annual bonus.

The successful candidate will:

  • Have previously worked as a PA or Team Secretary 
  • Have excellent organisational, time management and multi-tasking skills
  • Be a good team player with a  positive, flexible approach
  • Have excellent communication and interpersonal skills
  • Able to take minutes or notes in meetings
  • MS Office – Word, Excel, PowerPoint and Outlook
