Experienced and able PA required for a combined part time hybrid and physical role (two or three times a week), based in west London above Notting Hill. Supporting the founder of a fast growth entrepreneurial career advisory boutique which advises the most senior business people in the country and operates a cutting edge tech membership platform. c 1.5 – 2 days a week in aggregate (this may increase), working part time daily.

Must be familiar and adept at Microsoft Word, Excel and PowerPoint. Whilst operating at the top of the market we work out of a home office with a dog and two cats on the premises.

Opportunity to grow and extend the role with the business to management responsibilities if desired. We are looking for somebody to long term to grow with the business and manage us and help run the business! You may be a mother, a single parent, or looking to lead a less hectic worklife. Experience of recruitment / board work would be highly beneficial, as would living in west London or within easy reach of it. We would like someone with a flexible, adaptable style and hard working, friendly approach. 

Duties

Inbox

  1. Managing emails and the resulting actions e.g. booking meeting rooms, changing the time of sessions. Ensuring that all emails are answered by one of the two principals. 

Events

  1. Booking and managing client events including sending out group invitations, tracking acceptances and refusals and helping to host / manage the event.

Client paperwork

  1. Prepping CVs. Ensuring they are ready ahead of the relevant session.
  2. Prepping marketing plans.
  3. Prepping proposals.

Admin

  1. Scanning notes of sessions and calls.
  2. Ensuring office equipment is working, and all related admin.
  3. Helping with personal admin if required.

Content management

  1. Management of the client database.
  2. Management of client lists to keep up to date. 
  3. Management of business development records.

Invoicing

  1. Creating and sending invoices and keeping track of their payment.

VAT

  1. Keeping track of accountancy related dates such as VAT returns.
  2. Liaising with the accountant to ensure he has the appropriate information.

Technology

  1. Helping to fix equipment and keep equipment running as necessary. Following up warranties as necessary. Ordering new equipment as necessary.

Office supplies

  1. Ordering new office supplies as necessary.

Clients

  1. Liaising with clients as necessary.
