To provide professional and efficient administrative support to the Managing Director of a dynamic property development and investment company that brings together more than 25 years of experience. This role is ideal for candidates who enjoy a fast-paced, dynamic work environment, have good experience in the property industry and would like to develop their career in the industry further.

Hours: Full time
Location: Central London
Salary: Dependent upon experience

Responsibilities include, but not limited to:

  • Monitoring and managing the Managing Director's diary and mailbox; responding to and dealing with emails on the Managing Director's behalf and eventually complete management of mailbox
  • Following up on emails and calls for Managing Director
  • Arranging both internal and external meetings, accompanying where necessary

  • Updating meeting notes (Managing Director's meetings and team meetings)
  • Monitoring and distributing enquiries received in Info mailbox
  • Sending out property details on behalf of the Managing Director and following up


after 48 hours

  • Maintaining/updating databases (property details sent, contacts, passwords, bank


accounts, offers, potential instructions etc.)

  • Writing emails/letters on behalf of the Managing Director
  • Generating applications for payment/invoices and sales letters for agreed sales
  • Filing (electronic and hard copy)
  • Updating and maintaining website
  • Processing payroll and payment of expenses
  • Checking commission requests and updating commission spreadsheet
  • Payment and recordkeeping of invoices
  • Making travel arrangements
  • Developing and maintaining good relationships with suppliers
  • Keeping office stocked with required supplies (stationery, beverages etc.)
  • Overseeing office IT matters
  • Dealing with HR matters, including onboarding, attendance, payroll etc.
  • Undertaking ad hoc projects as required
  • Assisting with Managing Director's personal matters/companies



Candidates must be / have:

  • Minimum of 5 years' experience in a personal assistant/office manager role with at least 3 years in the property industry
  • University graduate or completion of a recognised PA programme / course
  • Fluent in English (oral and written)
  • Excellent command of Microsoft packages, particularly Word and Excel
  • Strong track record of administrative responsibilities
  • Organisational and multi-tasking skills
  • Must be able to take on responsibility and think outside the box
  • Ability to work in a fast-paced sales environment
  • Self-starter / shows initiative
  • Experience within the property industry is highly beneficial
