We have an opportunity for a Personal Assistant to work within a regional house builder in Leatherhead.
The role will be to provide secretarial and administrative support to the Director and the overall Department. This is a busy and varied role working for a lively department.
Duties:
* Diary management / meetings / logistics;
* Preparation and updating of team action lists;
* Following up actions on behalf of Director;
* Handle incoming department calls and answer reception overflow;
* Monitor & record staff attendance, holiday and sickness information and provide external visitor list for reception & provide reception cover where necessary;
* Filing - electronic and paper;
* Typing - correspondence, reports, minutes;
* Raising purchase orders and invoice tracking;
* Type, generate, print, copy, issue, file general correspondence and minutes;
* Raise and document fee proposals, SVO's, payments from invoices;
* Collate and prepare management packs and board meeting documents;
* Submit expenses / holiday / sickness forms;
* Upkeep / improvement of systems / housekeeping;
* Stationery and supplies for department;
* Part of weekly lunch time reception rota and share of holiday cover for Receptionist absence;
* Arrange team events / social etc;
* Manage CCS Portal (Considerate Constructors Scheme);
* Work closely with the other PA's to ensure smooth operation of head office;
* Any other administration and secretarial duties reasonably requested;
The ideal candidate will be self motivated and have a positive outlook as well as possess excellent time keeping.
This role is a permanent full time role based in the office from 8am to 5pm Monday to Friday
