A very successful international investment firm is looking for an exceptional office manager who can hit the ground running. The role will be fast-paced, varied, fun, and interesting. Office Manager duties:
• General office management and oversight of office budget and forecast
• Maintaining relationships with external suppliers and service providers
• Selection and management of team members life, health and travel insurance, visas
• Handling team and office expenses
• Maintaining internal HR systems and policies (vacations, employee handbooks…)
• Onboarding new employees
• Escalating and following-up on IT support requests with our IT support contractor
• Supporting with systems implementation (Data rooms, CRM)
• Managing and ordering office supplies
• Support with accounting administration tasks
• Ad hoc duties as required

Team Assistant duties:
• Diary management - scheduling appointments/ meetings
• Meeting and greeting visitors, preparing meeting rooms and video conferences
• Organising local and international travel, hotels, transport, currency and visas
• Organising team participation to conferences and events
• Administration of business contacts database
• Scanning / copying / binding of documents, presentations and filing
• Organising team events and social activities

Marketing and Communication duties:
• Opportuntity to maintain, update and evolution of the company website
• Supporting in the preparation of documentation / presentations as required
• Handling all internal comms

Skills and Experience Requirements:
• Strong team spirit
• Previous office administrator and / or assistant experience (at least 3 years)
• High level of Microsoft Office suite (Word, Excel, Outlook and PowerPoint)
• Wordpress experience, is a bonus
• Excellent communication skills, both written and verbally
• Ability to be both proactive and reactive is essential
• Flexible, dependable able to take initiatives and ownership
• Keen attention to detail
• Discreet and professional

Our Offer:
• Hours: Mon – Fri 8:30 am – 6:00pm
• Based in London (optional 1 day per week work from home policy)
