Highly successful and reputable private equity firm based in the heart of Mayfair is looking for an experienced senior level EA/PA with proven track record of supporting senior management within boutique investment/asset management firm to provide support to a very busy and demanding Partner and one other professional. No two days will be the same and will require someone who is a proactive, self-starter with a keen eye for detail.
Duties and responsibilities will include:
- Manage complex business and personal calendars with little or no input from the professional - receive and vet invites and organise and prioritise meetings, both internally and externally, with multiple constituents, considering the logistics, technology and materials
- Inbox management and responding where appropriate
- Manage complex international and domestic travel arrangements, often with little advance warning
- Processing expenses
- Preparation of reports/proposals using PowerPoint
- Reviewing correspondence, initiation preliminary work, and/or background information
- Draft correspondence /responses on behalf of Professional
- Setting-up video and telephone conference calls
- Prepare board papers and supporting documentation well in advance.
- Maintain accurate contact lists and associated mailing lists; proactively update without prompting.
- Work within a team to support the professionals; provide back-up support, coverage and workload management
- Participate in staff meetings
- Support professionals, as requested,
- Serve as Proxy to pre-clear trades and to pre-clear gifts and entertainment through the Firm's compliance system
- Submit and reconcile medical reimbursement claims; work directly with providers to obtain accurate documentation to ensure timely reimbursement
- Manage professional correspondence, special occasion card and gift giving including selection, payment and delivery where required
- Support professional in their non-profit roles (e., fundraising campaigns, event invites and logistics, board and committee meeting attendance, etc.)
- Ad-hoc presentation work
- Handle designated projects as instructed by Operations Director. Examples of assignments include:
- Plan conferences, events and dinners, both internal and offsite, with ownership of invites, budget, venue and logistics
- Support document repositories and collection in connection with legal and compliance requirements
Skills and experience required:
- Previous proven track record of supporting senior management within boutique investment firms
- Advanced Microsoft Office skills -Outlook and Word, PowerPoint
- Ability to work with highly confidential information
- Excellent communication and interpersonal skills - poised, polished and articulate
- Work with discretion and diplomacy
- Handle multiple priorities simultaneously, with quality results
- Excellent organisational skills; impeccable attention to detail
- Resourceful, proactive approach - ability to stay one step ahead
- Work to tight deadlines
- Demonstrated ability to function as a strategic partner, while remaining professional under pressure; quality decision making and problem solving skills are key
- Adaptable, flexible, dependable and accountable
- Be supportive to the wider administrative team
- European Language would be desirable
