This EA/Team Assistant is supporting a highly motivated team of professionals in a fast paced, corporate environment in very smart offices based at Victoria.

Your days you will be problem-solving and multi-tasking, assuming responsibility for planning, organizing, and executing major projects. You will also be responsible for planning client and internal meetings, conference calls, conferences/events and lunches/dinners for the team.

You will be collaborating with our partners, client administrative contacts and with department members in creating smooth workflow, including soliciting assistance from others as needed and helping others, as appropriate, and maintaining follow-through. You will have flexibility to ensure appropriate, timely actions and that deadlines are met.

Key Duties

  • Advanced, proactive diary management, facilitating swift set-up of meetings
  • Client facing position, internal and external client handling
  • Meeting, conference calls, events set up - internally and externally
  • Oversee extensive travel arrangements: co-ordination of flights, check in, VISAs, accommodation and ground transportation logistics. Manage a multitude of frequent changes at short notice and prepare travel itineraries

Experience:

8 years of executive/administrative assistant experience in a fast paced corporate or professional environment

Strong Outlook experience and be able to manage several calendars

Intermediate to Advanced proficiency in MS Excel, MS PowerPoint MS Word
