Office Manager / Executive PA
London Bridge
£40-50k depending on experience

Reporting To:    Company Directors

Overall responsibility:

  • PA to Executives
  • Office administration
  • HR
  • IT administration
  • Finance

Key Accountabilities:

  • PA to Executives
  • PA to London directors
  • PA to Chairman as required
  • Prepare weekly Directors movements list
  • Arrange travel/hotel/car transfer/currency etc
  • Prepare travel itinerary
  • Arrange meetings /local travel
  • Arrange weekly staff meetings
  • Prepare circulate meeting notes
  • Arrange London Board Meetings/agenda/minutes
  • Powerpoint presentations as required

Office administration

  • Office administration, 
  • All office admin matters
  • Liaising with landlord and suppliers
  • Agreeing and approval of supplier contracts
  • Stationery order
  • Website administration
  • Arranging cost effective travel arrangements for Directors and Brokers
  • Office communication systems
  • Managing all HR matters in conjunction with Directors and appointed HR support company
  • Payroll
  • Policies
  • Staff contracts
  • Staff benefits
  • Health insurance
  • Life insurance
  • Pension

IT administration

  • Working with appointed IT support companies
  • Ensure all systems are up to date
  • Dealing with day-to-day issues and liaising with IT support company to ensure issues resolved in timely manner

Finance

  • Control all suppliers’ invoices
  • Collate and record all payments for weekly payment run
  • Directors’ approval for payments
  • Pay suppliers weekly from bank account
  • Advise Post fixtures of weekly customer payments
  • Produce monthly management accounts
  • Balance  and manage Trade debtors with Post Fixture records
  • Reconcile monthly bank account
  • Produce cash forecast
  • Quarterly VAT records to Accountants
  • Liaise with appointed accountants

Person specification

We are looking for a highly organised, accurate, conscientious and responsive candidate who works independently in a small team

  • Previous office manager experience preferable
  • Excellent IT skills in Microsoft products
  • Confident communicator at all levels
  • Bookkeeping experience would be advantageous, but all finance matters would initially be handled in conjunction with current manager
