Leading Theatre and Live Entertainment companies require a first-class Assistant to provide effective administrative & diary support for their President, ensuring the smooth running of the office and all aspects of their professional life.
This is a busy and varied role split across two companies, so you will need to be highly organised with great attention to detail and excel at logistics and forward planning.
Responsibilities include, but not limited to:
- Extensive and detailed diary and meeting management for a constantly changing diary
- Coordinate, communicate and liaise with the President’s other PA to ensure diaries are mirrored across two companies and the principals personal life
- Overall responsibility for the President’s schedule and diary management
- Arranging frequent complex and detailed, domestic and international travel itineraries, including flight and hotel bookings, transfers and visas
- Managing the President’s inbox, dealing with highly confidential information and responding to emails on the President’s behalf where appropriate
- Attend and take minutes for meetings as required
- Ensure a smooth filtering of information from the President’s office to the relevant staff and vice versa
- Work with the Senior Vice President of Production and PA to COO, to ensure that the monthly board pack is delivered in a timely manner
- Liaise with the Senior Vice President of Production and Production team to ensure that the President is updated on all live projects and productions
- Management of production invite lists for press nights and external company functions
- Maintain an accurate and up-to-date filing system
- Assist President with personal requests as required
- Undertake projects as directed
- On occasion may be required to travel and/or work from OVG offices
- Carry out any other duties that may be reasonably required and, where appropriate, provide cover during periods of annual leave.
Candidates must be / have:
- 5 years experience as EA or PA at C-Suite level
- Solid administrator
- High standard of written English
- Professional telephone manner and excellent communication skills
- Confident and accustomed with handling high volumes of information
- Excellent multi-tasker and swift problem solver
- Highly organized and adaptable, able to manage shifting priorities and cope with last-minute changes
- A fast and willing learner
- Able to work alone and as part of a highly collaborative team
- A self-sufficient, flexible “can do”, patient and calm attitude – especially under pressure
- A conscientious approach with meticulous accuracy and eye for detail
- Able to maintain complete confidentiality and work with the utmost discretion and integrity
- An ability to build rapport quickly and communicate across all levels of management
- An intelligent/articulate communicator
- An interest and experience in theatre and/ or the arts.
