We’re looking for a brilliant PA to join our small integrated creative and media agency with a conscience, based in London Bridge. We help brands enact the brave conscious choices that drive long-term growth through deep insight, outstanding strategy, standout creative, and transparent media.

Role summary

You’ll be providing support to the two co-founders, helping with organisation, scheduling, correspondence and meetings. Office organisation will be your responsibility, as will organising socials and gifting, and some financial admin. In addition, there will be opportunities to support on HR, operations, and sustainability initiatives, dependent on experience and interest.

Responsibilities

  • Diary management for the MD and Operations & HR Director, including scheduling meetings, organising participant availability, booking meeting rooms and travel, where appropriate.
  • Preparing meeting agendas and taking minutes in relevant meetings.
  • Office management tasks, including liaison with serviced offices, stationery ordering, mobile phone contracts and other suppliers etc.
  • Acting as social secretary – arranging socials (in conjunction with the social committee), staff and client gifting, creating moments of surprise and delight.
  • Liaising with external IT support to ensure systems and processes are working well and any issues are resolved in a timely manner. Solving basic IT problems, where appropriate.
  • Maintaining the electronic filing system, including confidential information.
  • Providing support to new joiners to ensure a smooth transition into the agency.
  • Assisting with data collection for our sustainability initiatives.
  • Sourcing information for new business Requests for Proposals (RFPs).
  • Working with the leadership team to deliver the agency’s social and environmental targets eg. sourcing ethical suppliers.
  • Maintaining strong relationships with all employees across the business.

  • Experienced in executive support with a strong competence in Microsoft Office.
  • Experienced in working in a similar agency environment (preferred but not essential).
  • The ability to prioritise, be proactive, think ahead, anticipate problems and provide solutions.
  • Full of enthusiasm – and a team player that can inspire others.

Full time or P/T shortened days considered.

Salary up to 35k
