Team Administrator

Our client, a global leader in their field currently has a fantastic new opportunity for a Team Administrator to join their Investor Relations Team.  You will be looking after a team of 4 and be responsible for providing a highly professional and efficient support function as well as producing high quality documentation for clients.  We are looking for an enthusiastic and proactive team administrator where you will be supported in terms of personal growth and development as well as being rewarded for your hard work and efforts.  

Your key duties and responsibilities:

  • Assist with organising roadshows and events from start to finish which can involve complex logistics.
  • Ensure clients are onboarded correctly.
  • Maintaining roadshow and events calendar for the team.
  • Preparation of all documents for roadshows and events, invites, schedules, feedback reports.
  • Preparing marketing materials – printing and binding.
  • Sending out invites and managing responses.
  • Preparing lunches for meetings.
  • Booking travel and accommodation for clients.
  • General admin tasks for investor meetings, updating documents etc.
  • Diary management for IR MD.
  • Maintenance of spreadsheets.
  • Preparing IR and client packs.
  • Handling telephone enquiries – ensuring they are dealt with professionally and efficiently.
  • Ensuring systems and processes are maximised and running efficiently.
  • Preparation of expenses.

The ideal candidate:

  • At least 1 - 2 years previous Team Assistant experience within a fast paced, client focussed environment. 
  • Financial services background would be a real advantage.
  • Excellent organisational skills.
  • Able to keep calm and work well under pressure and to deadlines.
  • Strong MS skills and able to pick up systems and processes quickly.
  • High attention to detail.
  • Excellent communication skills at all levels.
  • Able to work independently and as part of a team.
  • Able to use initiative and come up with suggestions.
  • Min. A level education.
  • Have an interest in working within the finance sector.
