An urgent position has arisen in a City-based finance firm for a Senior Office Coordinator with some managerial experience. This individual will be experienced, proactive, and able to demonstrate exceptional planning and organisational skills and is looking to take on the challenges faced in a fast-paced environment. As a key representative for the company, the candidate will be enthusiastic, adaptable and committed to building relationships across the team. The activities are mainly relating to general office administration and support to the management team. To be considered, you must be available to start by the end of November.

- Overseeing and participating in general office maintenance and day-to-day facility operations
- Ordering/stocking supplies, stationery and managing vendor-related relationships
- Provide travel coordination support for the business
- Work closely with Talent Acquisition, Talent Development and Human Resources to ensure a seamless candidate interview process
- Support with the new hire onboarding experience
- Participate in space planning requirements with Office Manager
- Provide light accounting support such as providing invoices to accounting
- Assist with budgeting
- Assist with researching, planning, and execution of both in-office and off-site employee events
- Provide overall backup support to other departments where requested
- Provide backup office administration and reception/conference room coordination when needed
- Screen incoming calls, greet guests, prepare conference rooms and ensure guests/candidates understand how to operate VC equipment
- Ability and confidence to make workplace decisions and provide approvals as a backup to the Office Manager when needed.
- Flexible for travel to provide support to remote offices
Skills You’ll Need:
- Educated to degree level
- Excellent organisation skills and strong attention to detail
- Excellent ability to organize and manage time effectively
- Proven ability to supervise a team
- Proactive thinker and strong team player
- Demonstrates reliable and predictable attendance
- Available for potential travel to other European offices as needed
- Ability to work in a fast-paced and challenging environment ensuring all tasks are completed
- 3+ years experience in an office administration/support environment
- Good knowledge of Word, Excel, PowerPoint and Outlook
