Investment firm seeks a primarily Personal Assistant (with occasional corporate tasks) to support one of the Co-Founders in a boutique investment office in Mayfair.

The UHNW Co-Founder requires an experienced assistant who will help them maximize their networking potential, whilst also managing all aspects of their personal affairs. 

The role involves working as a part of an administrative support team, tracking and managing multiple business/personal contacts, managing the principal’s day-to-day schedule, and acting as a front of knowledge, research, and reminders(!)

The ideal candidate will have extensive experience within a similar role, be degree educated, have meticulous verbal and written communication skills and will thrive in a demanding environment, able to deal with repetitive but crucial tasks.

This is a highly valued role where longevity is rewarded and absolute discretion is expected. Strong teamwork and a can-do attitude are essential for the role.

Hours:              Full Time with out of hours and weekend support expected (but not onerous)

Location:         Mayfair, office-based

Responsibilities include, but not limited to:

A detail-oriented approach to managing the principal’s needs across the following key areas, whilst retaining a sense of humour at all times:

Private Support           

  • Managing extensive global travel arrangements and complex itineraries for the principal, – sometimes at a moment’s notice. Researching the best prices and negotiating delas where possible and/or appropriate.  The ideal candidate will also research the preferred and most sought-after destinations and experiences.
  • Juggling the principal’s diary to ensure private meetings and appointments are optimised.  Liaising with driver to make sure that all appointments are flagged in advance of travel.
  • Personal lifestyle management, making all appointments, taking ownership of memberships, recurring appointments, purchasing preferences, and keeping up to date with the latest developments in health & fitness supplies.
  • Management of home in London and household staff, ensuring that the property is maintained to the principal’s high standard.
  • Personal shopping for thoughtful touches for the principal’s family and friends. The principal highly values his relationships and as such these relationships must be handled with a high level of care- including birthdays, anniversaries, births, weddings etc., etc..
  • Managing appointments for the principal’s partner, researching activities, assisting with travel.
  • Management of dog care, treatment, veterinary appointments.
  • Reconciling all expenses.
  • Miscellaneous/ad hoc tasks, e.g. car hire, insurance, visas etc..

Business Support

  • Exacting management of the principal’s diary: booking meetings; coordinating conference calls; arranging appointments; coordinating with other assistants to ensure no clashes with other principals.
  • Management of email inboxes, supporting the principal and reminding them of follow-up where necessary.  Precise written English skills are non-negotiable in this respect.
  • Business travel management including special itineraries, and last-minute travel requirements. Seamless, friction-free logistics are expected.
  • Detailed contact management and understanding of priorities and relationships.
  • Upwardly managing principal: need to be one step ahead to anticipate needs.
  • Expense reconciliation.
  • Some overlap with team support, assisting the CIO.
  • Some office-centric duties.

Candidates must be / have:

  • Degree-educated with at least 3+ years’ experience in a similar role.
  • Able to always exercise discretion and confidentiality.
  • Acute attention to detail and be highly organised by nature.
  • Exceptional communication skills, written and verbal, highly numerate.
  • Flexibility to be on-call 24/7.
  • Excellent organisation skills and an ability to think proactively and prioritise work
  • The instinct to think ahead– direction and support will be provided however the right candidate must be autonomous, an excellent observer and anticipate the next move.
  • Advanced diary skills, Microsoft Office- proficient and generally tech-savvy.
  • Team player, able to ask for guidance and provide support where needed.
  • Professional and well-presented, exceptionally high EQ.
  • Calm under pressure and a natural problem solver.
  • Familiarity with the family office environment is beneficial.
  • Maturity, self-sufficiency, and the equanimity to withstand mercurial characters is a definite plus.
