JOB PURPOSE

Provide a comprehensive level of administrative and organizational support to the Executives and the Office of the CFO/COO, ensuring they are fully supported to enable smooth and efficient running of the department.

RESPONSIBILITIES

  • Extensive diary and agenda management across time zones
  • Time keeping/checking for all meetings ensuring the Executives run to time
  • Being first point of contact for leadership team
  • Booking travel including flights, hotels, taxis for the Executives
  • Processing the Executive’s expenses in line with company policy
  • Handling IT and Maintenance queries
  • General office administration
  • Organising Events
  • Supporting production of presentations and papers
  • Providing support to other team members when required
  • Helping with occasional personal administration (20% of time)
  • Working closely with the EA to the COO/CFO
  • Organising events on the request of the leadership team (e.g. team meetings, global townhall meetings etc) 
  • Support for the Office of the COO/CFO, as and when required
    o Guest collection from Reception
    o Meeting time checks
    o AV support for meetings
    o Arranging couriers
    o Expenses for the COO/CFO
    o Reporting maintenance issues and managing follow-ups
    o Desk moves and new starter coordination
    o Raising POs

PERSONAL PROFILE 

  • Previous experience of working as a PA to Senior Management
  • Highly computer literate, particularly in Word, PowerPoint and Excel
  • Experience in Concur or other travel and expense systems
  • Experience with using Ariba/SAP preferred
  • Experience in using technology for meetings (VC, teleconference, skype, webex etc)
  • Strong administrative and organisational skills with the ability to multi task
  • Professionalism and a high degree of confidentiality and integrity
  • Ability to be very flexible and to re-prioritise near-term assignments
  • Strong communication including excellent written and spoken English, interpersonal skills and attention to detail
  • Ability to remain calm in a high pressure environment and prioritise
