The Position

My client is looking for a Lifestyle Logistics Manager with experience in the delivery of bespoke corporate experiences to support across three companies. With some exciting and challenging events in the pipeline they are looking for someone to hit the ground running and embrace a challenge! Events will range from networking dinners, private parties, corporate offsites, investor meetings and bespoke client entertainment trips.

This position reports directly to the Director of Events and will be part of a larger events team that dedicates 50% of its time to organising events for two financial services firms and 50% to organising private events for the Founder of the group of businesses.

They are looking for a highly organised, logistics focussed individual who will be able to confidently juggle concurrent projects.

Working well under pressure, reacting swiftly to last minute requests and changes and being able to communicate confidently are integral to this role. It is a given that this role requires exceptional written and Excel skills.

International travel will be required, sometimes with little notice and a willingness to work extra hours or on weekends is required when running events.


Responsibilities
• Event management and ownership of predominantly high-end dinners, private parties and team off-sites, from planning through to delivery
• Build out and own an up-to-date venue database with all the latest venues, restaurant and hotel options to support across all three companies, both in the UK and overseas
• Collaborate and support the wider team with logistics support where needed
• Interpret client briefs, provide solutions and responses
• Manage all aspects of assigned projects including supplier and 3rd party management and keeping within project timeframes
• Event budget management, ensuring accurate reconciliation
• Full onsite event management including: managing logistics staff, security teams and support staff
• Timeline planning for all events
• Drafting invitation letters and event proposals
• Oversee all logistics and act as the main point of internal sign-off
• Guest list and registration management when required

Key Skills
• Strong track record in fast paced, ‘concierge style’ logistics management
• Network of contacts to leverage, to support with finding the best venues, restaurants and private dining experiences
• Up to date / on trend knowledge of the events industry – hotels, venues, restaurants/private dining, caterers, transportation, entertainment etc
• A proven track record with high-net worth individuals
• Experience being a ‘fixer’, solving reactive logistical challenges at speed
• ‘Can do’ attitude and happy to be on call for last minute requests for dinners, travel etc
• Willingness to work outside of 9-5 office hours as required
• Project manage events with confidence
• Experience in managing budgets and guest lists
• Experience producing schedules and itinerary documentation
• Experience managing 3rd party supplier management, i.e. promotional staff, DMCs, venue contracts etc
• Ability to produce proposals, presentations, budgets and documents with confidence
• Exceptional numeracy skills, attention to detail, and a resourceful attitude
• Exhibit drive, initiative and enthusiasm whilst being a team player
• Experience working independently and to non-negotiable deadlines
• Strategic, pre-emptive thinker
• Excellent written English, proofreading and research skills
• Highly competent with Excel and PowerPoint
• University Graduate
• Fluency in additional European Languages would be a significant benefit
• Enjoy travelling and have the flexibility to do so, often with short notice
