Client Services EA

 

A growing family office require an Executive Assistant to join their client services team. This person will be responsible for working closely with 2-3 families, supporting their Private Banker in an administrative capacity and providing concierge services to the UHNW family.

 

The ideal candidate will have worked in a family office before. If someone is coming from a financial services or concierge background, this is also highly advantageous.

 

You will be supporting at an UHNW level so it is imperative the successful candidate has dealt with UHNW clients before. They will need to be highly discreet, professional, warm and engaging as you will be dealing with clients on a daily basis.

 

This is a really broad, meaty role that requires someone who is flexible, adaptable and not afraid to use their initiative as no two days are the same. A little black book is highly desirable.

Client Services EA Responsibilities:

  • The candidate will support senior management in a broad range of administrative and organisational functions, as well as clients of the firm
  • Arranging international and domestic travel
  • Assisting with front of office duties, including keeping the office client ready at all times, filing systems, record keeping, scheduling calls, arranging meetings and other general administration
  • Responding promptly to ad-hoc client requests. These can range from property management, recruitment, purchasing properties, children’s schooling, reservations, Private PA support and even things like acquiring private jets and yachts
  • Dealing with investment packs, share certificates and other financial documents.
  • Formatting of presentations and other documentation as and when required.
  • Supporting clients with reservations and any ad hoc PA support when they are in town
  • Submission of expenses and reconciliation of Amex reports
  • Event organisation and client gifting
  • Liaising closely with a broad range of financial and legal institutions, and coordinating each relationship to best service on behalf of the clients
  • Supporting the Executive Assistant to the Partners when necessary

 

The successful Client Services EA must demonstrate they are / have:

  • A minimum of four years’ experience in a PA / EA role
  • Highly-organised with an entrepreneurial drive
  • Have the ability to follow instructions carefully, and in turn to provide clear methods of communication both internally and externally
  • Exceptional attention to detail whilst always maintaining the highest standards
  • Excellent professional written and verbal communication skills
  • Highly proficient in Microsoft Office 365 (SharePoint, Team etc)
  • A family office, financial services or concierge background is highly desirable
  • Desire to work in a collegiate and dynamic team, to be a true team player, and be invested in the firm’s future
  • Extremely resourceful, resilient and adaptable
