Senior EA Job Description
EA Role
A leading information technology firm with a start-up culture at their core is seeking an experienced EA to support members of the UK Leadership Team. The role is based at their UK head office and will be focused on providing high quality support to two Executives.
The company are committed to a flexible working model to best suit the employee. In addition, there is a collaborative working environment that emphasises team support.
This is a six month maternity contract in a hugely rewarding environment that encourages professional growth and development. It cannot be guaranteed, but the business like to retain top talent, so there could be potential permanent opportunities elsewhere within the business upon completion of the contract.
Salary: £45K-£48K
Hours: 09:00 – 17:30
Location: The City and flexible home working 3-4 days a week
Start date: 1st week of September
EA Responsibilities
- Provide diary management for the Executives, including working closely with fellow colleagues and other support to organise executive meetings; project meetings; 1:1s with direct reports; as well as departmental away days
- Inbox management
- Liaise with external clients to arrange meetings either virtually, onsite or at an alternate location
- Book meeting rooms/venues, order catering and organise the provision of any equipment when necessary
- Collate reports/presentations in advance of meetings when required
- Manage the holiday rota for the Executive and their teams
- Process Executives expenses and manage direct report expenses process
- Arrange travel and accommodation for business trips in line with company policy
- Prepare travel itineraries and organise all necessary bookings
- Sensitive management of confidential, strategic, personal, and business critical information
- Prioritise, acknowledge and distribute correspondence received as required
- Where required screen phone calls and listen to voicemails
- Deal with all internal and external queries and manage effectively
- Complete research or fact-finding as and when required
- Type minutes as and when required and distribute accordingly
- Produce and edit PowerPoint presentations when required
- Undertake any specific projects as requested
- Arrange Executive client events and UK wide conferences virtually and in multiple locations
- Help manage annual employee events i.e. Christmas and Summer parties
- Flexibility to travel when required
EA Responsibilities
- A strong and resourceful problem solver
- Excellent communication skills, both written and verbal with a positive demeanour
- A minimum of five years’ experience as a Personal/Executive Assistant/Team Assistant
- Advanced Microsoft Office skills
- Capable of working under pressure and using own initiative with minimal supervision
- Able to interface and communicate with executive and senior management across all business functions
- Excellent planning & organisation skills
- Ability to handle multiple tasks simultaneously whilst remaining flexible, proactive and efficient
- Exceptional organisational and administrative skills
- Ability to work in a collaborative environment, using initiative and establishing deadlines
- Aptitude for learning and willingness to develop role where required
- Demonstrate, through words and behaviours, an in-depth understanding and strong personal commitment to your work
- Enthusiastic and confident to challenge
- Emotionally intelligent and culturally aware
- Accessible to London
