Job Description
Arcadis are recruiting for a Workplace Facilities Assistant to join our office in Bristol. You will support the Workplace Facilities Team in the day-to-day management of the office, and carry out a range of duties, including those listed below:
* Provide a reception service to all office users, including ensuring all visitors are given a Health & Safety briefing upon arrival.
* Manage the office email inbox.
* Utilise and support others in using Workplace Facilities Management systems including desk and room booking.
* Use the Workplace Facilities Management helpdesk to report and track offices issues
* Raise purchase orders and update budget trackers.
* Order stationery and consumables from our preferred suppliers.
* Manage the presentation and set-up of the meeting rooms including ordering hospitality catering.
* Carry out new starter inductions.
* Arrange security passes for visitors and staff, where required.
* Managing incoming and outgoing mail & courier's deliveries/collections in accordance with site procedures.
* Act as an Evacuation warden.
* Willing to attend First Aid course and on completion be one of the sites first aiders.
* Assist the Workplace Facilities Manager in contractor management and building maintenance, including monitor contractor's whilst on site.
* Support the Workplace Facilities Manager with other health and safety duties.
Requirements
* Previous experience within a similar role i.e. Office Administration, Receptionist, Facilities Assistant, Customer Service etc.
* Confident in a people facing role with a proactive approach and strong customer service skills. Able to provide support to line management, occupiers and external visitors.
* Happy get involved in a variety of duties shared across the team and the desire to develop skills.
* Proficiency in Microsoft Word and Excel.
* Good communication skills.
