Executive Assistant - Real Estate Asset Management - Full Time

Our client is a Pan-European developer, investor, and asset manager of logistics real estate based in Central London.

As a result of strong performance since the company’s inception in 2020 and continuing growth of the team, we are hiring an Executive Assistant to support the busy team and the CEO with a varied and dynamic mix of duties.

The role will be an equal split between PA support for the team of 10 and personal support and administration for the CEO. The successful candidate will report directly to the COO.

This person’s role will include, but not be limited to:

  • Organising internal and external meetings and events including in person meetings, video conferencing and phone calls
  • Coordinating international travel bookings, (predominantly European based travel), for the team including flights, accommodation and transfers
  • Acting as the first point of contact for clients and internal vendors both on the phone and via email
  • Managing financial administration where necessary including coordinating expenses and receipts and managing submission of expenses via internal system
  • Helping to make the necessary arrangements for new starters including organising hardware, software, file access etc
  • Proactively managing the CEO’s busy diary and inbox, ensuring the most effective use of time and fielding requests where necessary
  • Supporting the CEO with personal duties including booking appointments, organising travel arrangements and coordinating domestic administration
  • Ordering regular refreshments for the office and for meetings as and when necessary
  • Helping to maintain and manage the office including ordering office supplies and stationary
  • Helping to coordinate regular team social events out of the office

The ideal candidate will have:

  • Experience working in a fast paced, dynamic Executive Assistant or Personal Assistant role, preferably in a high-level financial services firm
  • Previous experience supporting both a team and one on one personal support with a C Suite Executive
  • A positive and energetic approach to work and plenty of initiative and self-motivation that will be required working in a start-up and entrepreneurial environment
  • Excellent attention to detail and skilled at multitasking
  • Demonstrated track record of intelligent and proactive diary management, coordination and prioritisation of work
  • Ability to act quickly and under pressure
