Our Client has over 35 years' experience, they are the leading supplier of window and door systems in the UK. As a trusted systems manufacturer, they design, develop and supply systems to the UK network of fabricators and installers and take great pride not only in quality, breath and depth of their product ranges, but also in their design expertise and dedicated support services. They operate a state-of-the-art 45,000m2 manufacturing plant in the South West of England.

The main reception desk/area is supported by 4 part time Receptionists on a rotating shift pattern (over a 4 week period), incorporating 1 week of mornings, 1 week of afternoons, 1 week in 4 on standby.

The main purpose of the role is to provide a welcoming, courteous, friendly, helpful and efficient service to visitors and staff alike.

Main Duties:

* Open up Reception ensuring all is tidy and ready for the day

* checking any messages left on switchboard during closure period. Pass accordingly, either by phone or email.

* Check visitor daily training sheets for known visitors, meetings booked in online meeting room planner, staff on holiday/off side meetings/sickness etc. Important to keep daily record up to date throughout the day to ensure time not lost locating absent staff where this is known.

* Take and log temperatures using thermal gun for all visitors not already checking before shift start

* Meet and greet visitors and contact relevant member of staff ensuring all visitors sign in and are issued a badge and necessary Personal Protective Equipment (PPE) hi-viz vest, safety boots etc.

* Email recipient for incoming faxes - if for Sales/Customer Service inform relevant team member for them to collect

* Ensure courier deliveries signed for, recorded and distributed accordingly

* Pass on messages from callers and/or emails to relevant staff member

* Follow fire drill roll call process and regularly update staff names on listing

* assist the post room with sending out bulletins/newsletters; making up folders ready for manuals and any other admin tasks to support the team which can be undertaken at the reception desk

* Change over switchboard to "voicemail" at end of day and check on extension phone that operating correctly. Clean phones. Put out visitor/training forms etc ready for next day. Check printer/fax has sufficient paper in. Ensure while area tidy for next day

* Ensure front doors are locked correctly

* Undertake any other duties not normally within the role as requested

* Ability to work both independently and with others

* Computer literate, particularly using Word, Outlook, Excel and also using databases

* Comfortable with light physical activity. Manual handling training will be provided as appropriate

Hours worked over a 4 week rotating shift pattern 44 hours + 1 in 4 on standby to cover sickness and holidays.
