Office Coordinator, International Chamber of Shipping

Starting salary – circa £28,000 -£30,000 per annum with opportunities to progress

The International Chamber of Shipping (ICS) represents the interests of shipowners and operators at bodies such as the International Maritime Organization (IMO) and the International Labour Organization (ILO).  ICS also produces maritime publications that help support safe and environmentally-responsible operations at sea.

This is an ideal opportunity for a well organised, highly computer literate (MS Office Suite) and enthusiastic individual seeking a support-based administration role within a professional business environment.  This office coordinator will join a hardworking and closely-knit team where you will primarily look after and coordinate the administration and business support needs for small group of Directors and their teams. This role offers exciting opportunities to develop skills and gain experience across a broad range of business support activities.

Reporting in to the Senior EA for the Secretary General, the work will be varied and, at times, fast paced and working to deadlines.  You will need to demonstrate a can-do attitude and approach, flourish with a busy workload including priortising your tasks and time to get the work done.  You will liaise and communicate with a range of stakeholders and key contacts at a senior level internally on a regular basis and you will already have the excellent written and verbal communication and relationship building skills to support this.  Prior experience of using a CRM system and being comfortable with working with all forms of digital communication would be a distinct advantage.
 

Office Coordinator duties will include:

  • Formatting and distributing Circulars internally and sending out to partner and trade organisations and contacts on a regular basis.
  • Coordinating papers, briefs and arrangements for business meetings with partner and trade organisations - both on site and at other locations.
  • Coordinate international and often complex travel arrangements and details for team members attending partner and trade meetings.
  • Host and coordinate arrangements for onsite meetings including setting out rooms, coordinating refreshment arrangements and clearing down rooms after use.

As part of this office coordinator role you will work with several key internal colleagues in a regular basis, this will give you the opportunity to showcase your talent for working as part of a team and your high levels of flexibility and adaptability.

The small and highly dedicated Secretariat team at ICS are in the process of returning to office-based working on a hybrid basis. We have recently moved into a brand new and very modern office space based in Seething Lane in the City of London.   In this full-time role, you can expect to work in the office for at least three days a week on a flexible basis and subject to business needs, combined with home working for the remainder of the time.  There is an excellent range of additional benefits and a great team culture.  As well as growing and bringing in new people over the last year, there is also excellent longevity across the whole team.   

ICS is the principal trade association working with Ship Owners and Operators as members in around 40 countries across the world and representing over 80% of the merchant tonnage carried on the world’s oceans. Our primary concern is with a wide range of maritime affairs including regulatory, environmental, people, safety, trade, and legal issues. The maritime industry is going through transformational change as the sector begins to recover from COVID-19 and decarbonize. The ICS is at the forefront of this.
