We have a great architectural client looking for someone to bring their front of house expertise to the team.  They are a leading British architectural practice with some impressive offices in London and a sizeable front of house team.  They cover a number of floors over 2 sites which you work on a rota basis covering meeting and greeting, switchboard and managing the meetings rooms.  The team are strong and work together providing a first class service to their visitors and the company staff. 

The reception team share the following duties:

  • Answering the switchboard calls for the whole practice via Microsoft Teams
  • Acting as a first point of contact to all visitors and staff
  • Assisting colleagues with queries and administrative tasks
  • Taking pride in the appearance of the office, ensuring its cleanliness and tidiness, especially
  • client-facing areas such as the front of house and meeting rooms
  • Managing and booking meeting rooms, ensuring all meetings run on time
  • Arranging refreshments for external meetings and ordering lunch when necessary
  • Setting up equipment for presentations, conference calls and video conferencing
  • Accurately distributing incoming post and preparing outgoing post
  • Using Newforma software for project related tasks and information
  • Ordering couriers and taxis
  • Managing the centralised company email inbox
  • Booking travel, hotels, restaurants, as necessary
  • Counting in, signing for and packing away deliveries in the appropriate place
  • Assisting with training new starters
  • Organising weekly CPD seminars by liaising with external contacts
  • Supporting Team Coordinators and PAs with ad hoc tasks
  • Scheduling Friday night presentations and monthly round-ups for the whole practice
  • Creating presentations, formatting documents and posters for events throughout the office
  • Assisting the Librarian with administrative tasks

You’ll need exceptional customer service and communication skills with a professional and personable nature, service is always with a smile and no job is too small.  In order to be part of their team you’ll ideally have proven experience in a similar receptionist position and be good at working in a team.
